Willow property management

Our guarantees, in plain language.

Here is when each promise applies, what Willow will do and how a fee credit works. We review the applicable guarantees with every eligible owner before signing.

Start with the agreement.

Willow includes each applicable guarantee in the signed leasing or property management agreement for an eligible residential property. The agreement identifies the property, services, fees and any property-specific pricing or readiness plan. Willow provides those terms before the owner signs. Nothing here guarantees a rent amount, uninterrupted tenancy or a particular applicant.

01 · Results Guarantee

No leasing fee until an approved tenant is placed.

For an eligible residential leasing assignment, Willow does not charge its leasing fee before a tenant is placed. Placement occurs when an applicant who meets the written screening criteria has an executed lease and the required security deposit has been received. If the agreement requires owner approval, that approval must also be complete.

If no tenant is placed, no leasing fee is due. The leasing fee is separate from any other fee disclosed in the signed agreement.

02 · 30-Day Leasing Guarantee

Thirty calendar days from launch, or one management fee waived.

This guarantee is for eligible Dallas–Fort Worth homes enrolled in Willow’s full-service management. The property must be lawful to lease, safe, clean, move-in ready, accessible for showings and marketed at the asking rent and adjustment plan agreed in writing with the owner.

When the clock starts

Day 1 is the date Willow confirms in writing that the home is ready to show and its rental listing is publicly live at the agreed asking rent. Willow provides the owner the launch date and listing link. The clock runs in calendar days; Willow’s own delays after launch do not pause or reset it.

What counts as placement

By the end of Day 30, an applicant who meets the written screening criteria must have an executed lease and the required security deposit must have been received. A pending application, verbal acceptance or unsigned lease does not count. Willow will not lower its screening standards to meet the deadline.

When the clock pauses

Only documented owner-caused days when the home cannot be shown or the agreed pricing plan is not followed are excluded. Examples include owner-directed showing restrictions, an owner-delayed repair needed for leasing, or an owner-requested asking rent above the agreed plan. Willow will notify the owner in writing of the reason and dates of any pause. The clock resumes when the issue is resolved.

If Willow misses

Willow waives one full monthly management fee for that property. The amount is the ordinary monthly management fee stated in the signed agreement, calculated using the rent in the first executed lease. It is applied to the first full monthly management fee that becomes due after a tenant is placed. The credit is not a month of rent, a leasing-fee waiver or a cash payment.

03 · One-Business-Day Response

A useful owner response by the next business day.

This guarantee applies while Willow provides full-service management for the property. Covered messages are routine owner emails sent to todd@willowtexas.com and voicemails left at 469.324.4141. Text messages and social-media messages are not covered by this guarantee.

The response window

Business hours are Monday through Friday, 9 a.m. to 5 p.m. Central time, excluding U.S. federal holidays. A message received during business hours receives a useful response by 5 p.m. the next business day. A message received outside business hours is treated as received when business hours next open and receives a useful response by 5 p.m. that same day.

What counts as a useful response

Willow will answer the question or identify the specific next step, who is handling it and when the owner can expect another update. If an answer depends on a resident, vendor or other third party, a specific status and next step count; an automated receipt or generic “we’ll get back to you” does not.

Emergencies and missed responses

Urgent property or safety issues should be reported using the emergency instructions in the signed management agreement. The routine-message response guarantee does not replace that emergency process. If Willow misses the response window for a covered message, Willow credits one full monthly management fee for that property on the next owner statement with a management fee due. No more than one response credit applies to a property in a calendar month.

How the credits work together

The 30-day leasing credit and one-business-day response credit are separate promises. If Willow misses both, both credits can apply. Each credit is limited to one ordinary monthly management fee for the property, as described above. Fees and owner obligations remain governed by the signed agreement.
